Login to KTern and navigate to the signoffs page under the Transformation Hub. Then, proceed to the "Tree View" tab in the sign-offs section.
For creating a Sign Off Group:
Use the List View tab or Explorer View tab.
Locate the red "+" icon, provide the name, and click on the "Add Sign Off Group" button. This action will create the signoff group.
To create a child signoff item:
Click on the "+" icon to create the signoff item as a child. A drawer will open.
Fill in the mandatory fields and click on the "Create" button.
The signoff item will be created as a child beneath the parent signoff item, simplifying hierarchical organization.
To create a signoff item similar to an existing one:
Click on the third icon (as shown in the image) to clone the respective signoff. The sign-off item will be created at the same level where it was cloned.
All information in the original signoff will be copied to the new one.
Ensure the title is updated, and verify or adjust stakeholders and the due date to fit the current requirement. This saves time by reducing repetitive manual entry.
To view or edit specific details of a signoff:
Click on the "i" icon to open a drawer.
Make the necessary changes and click the "Update" button to save them, ensuring that all details remain accurate and up to date.
To explore the signoff wizard:
Click on the fourth icon resembling a rocket launch.
View the list of child signoffs for a parent and see the parent details of a child signoff.
Approvers can directly approve or reject the signoff from this section without navigating elsewhere, streamlining the approval process.
In the Tree View:
The first tab contains all signoffs for easy access.
The second tab shows role information, including role names and the list of approvers for each role when hovered over. This allows for quick identification of responsibilities and streamlines communication.
The third tab displays team information, showing team names organized by levels. Hovering over a team name reveals the list of approvers in different teams, facilitating team-based insights.
The fourth tab provides a clear view of the levels within each signoff item. Hovering over signoff items shows the stakeholders present in each level, ensuring complete visibility of the approval structure.
You cannot create child signoffs for approved signoff items. This restriction ensures that the approved structure remains intact.
Once the approval flow starts (when any stakeholder approves a signoff item):
The respective signoff item fields will be locked.
This includes preventing edits or file additions, ensuring the integrity of the approval process.
If modifications are necessary after the sign-off is locked (unless all stakeholders in the queue haven't approved), you can use the "Request for Re-approval" email to initiate changes. In case everyone has approved the respective sign-off item, you won't be able to edit anything except the references.
By following these steps, you can efficiently create, manage, and monitor signoffs in the Tree View while maintaining accuracy and consistency across all levels of the approval process.
