Key Guidelines for Using Copy-Paste Effectively
  1. Overwriting Existing Data

    • Ensure Sufficient Rows: Before pasting data, make sure you add an appropriate number of rows. The number of copied rows should match the number of created rows.





    • Avoid Data Loss: Pasting data without sufficient rows will replace the content of existing rows. To avoid this:

      • Add a set of 10 rows in bulk for the required number of entries.



      • If there are extra rows, you can delete them after pasting.



    • Check Row Count: Always check the number of rows before pasting to avoid overwriting important data.

  2. Parent-Child Hierarchy

    • Copying Parent Rows: When you copy a parent row, only that row is copied. The child rows are not included, regardless of whether they are expanded or collapsed.
    • Making Tasks Children of a Parent Task:

      • Click the respective cell (ensure its editable).

      • If it's not selectable, click in the title box and press Escape to exit the selection.





      • Use Shift + Down Arrow to select multiple rows.



      • Right-click and choose the Indent option to make the selected tasks children of the parent.





  3. Using the Fill Handle

    • The Fill Handle feature enables quick data entry, allowing you to drag and update values across cells as you would in Excel.



    • Click a cell and drag the small square at the bottom-right corner to extend values across adjacent cells.

      • Locked Fields: These cannot be updated using the Fill Handle.



      • Editable Fields: Only editable fields can be filled using the Fill Handle.

      • Date Fields: When dragging a date field, the next dates (e.g., Apr 6, Apr 7) will automatically populate the adjacent cells (e.g., Apr 8, Apr 9, etc.), excluding weekends will get excluded accordingly. 



      • Unlock Necessary Fields: Ensure the fields are unlocked before using the Fill Handle for bulk updates.

  4. Restricted Columns

    • Some columns cannot accept pasted data.

      • Columns like Successors, Predecessors, and Baseline Duration will be skipped during the paste operation.



      • Note: While these columns can’t be pasted directly, you can still copy dates from locked cells.

  5. Column and Data Alignment

    • Matching Data Types: Ensure the column headers and data types in both Excel and the Planner Grid align when performing a bulk copy-paste operation. Mismatched data can cause errors or misalignment during the transfer.



    • Align dropdown values such as Owner and Status to prevent errors.

  6. Date Formatting

    • Proper Date Format: Always use the format MMM DD, YYYY (e.g., Oct 18, 2024) for date fields.





    • Correct Format: Following the correct date format ensures smooth data transfer without errors.

  7. Handling Errors

    • Error Alerts: If there are errors, such as invalid dates or incorrect dropdown values, an alert will appear.



    • Skipping Problematic Cells: You can choose to skip the problematic cells. Simply click Close to ignore invalid cells and paste the rest of the data successfully.
